# How staff pay and pro rata work in sherloc

Each person on your Staff sheet has an annual salary, an employment type and a Pro rata %. Together, these set what that person costs your forecast each month, and they’re how you show a part-time role.

## How it works

## 1\. Find your people

Open **Forecasts**, choose a forecast and select the **Staff** tab. Each person has their own row, with their **Employment** type, **Pro rata %** and **Pro rata salary** alongside their annual salary. The sheet also shows **Total Salaries** and **Total Staff Costs**. Your staff details also live under **My Data**, on the **Business Data** tab.

## 2\. Choose an employment type

Each person is **Full-time**, **Part-time**, **Contract**, **Zero-hours** or **Volunteer**. Full-time sets Pro rata % to 100, and Volunteer sets it to 0. For the other types you choose the percentage yourself.

## 3\. Set the Pro rata %

Pro rata % is the share of the annual salary you actually pay, as a whole number from 0 to 100. sherloc multiplies the annual salary by that percentage to give the **Pro rata salary**, and spreads it across the months.

Example: an annual salary of £30,000 with a Pro rata % of 60 gives a Pro rata salary of £18,000 a year, or £1,500 a month.

## 4\. Try a change in a forecast scenario

Anything you change on the Staff tab applies only inside that forecast, so a forecast scenario is a safe place to try a different salary. You can edit a person’s salary on the tab, or open the row menu and choose **Create assumption**. **Staff** is one of the sheets you can pick under “Select the sheet impacted by the assumption”.

**One thing to know.** Pro rata % is a share of pay, not a number of hours. If someone is paid at 60% of a full-time salary, set 60.
